Vacation Cashout. In addition to Article 27, Section 10 of the Agreement, employees may cash out up to forty (40) hours of accrued vacation hours each State fiscal year under the following conditions: a) Employees must have regular status at the time of the request; b) Requests must be submitted in writing during the month of March of each year on a form developed and provided by the Agency; c) If the employee’s request is received before the fifteenth (15th) of March, payment shall be made in the employee’s April paycheck. If the request is received after the fifteenth (15th) of March, payment shall be made in the employee’s May paycheck; d) After cash out, employees must have in their leave balance at least sixty (60) hours of accrued vacation leave hours; e) Payment shall be the employee’s straight time rate of pay; f) Employees on unprotected leave without pay at the time the payment is requested are not eligible to cash out accrued vacation hours.

Effective for the 2012 tax year and each subsequent year, to be eligible to cash out vacation, employees must pre-elect the number of vacation hours they will cash out during the following calendar year, up to the maximum of 120 hours, prior to the start of that calendar year. The election will apply only to vacation hours accrued in the next tax year and eligible for cash out. 2. The election to cash out vacation hours in each designated year will be irrevocable. This means that employees who elect to cash out vacation hours must cash out the number of accrued hours pre-designated on the election form provided by the City. 3. Employees who do not pre-designate or decline a cash out amount by the annual deadline established by the City will be deemed to have waived the right to cash out any leave in the following tax year and will not be eligible to cash out vacation hours in the next tax year. 4. Employees who pre-designate cash out amounts may request a cash out at any time in the designated tax year by submitting a cash out form to payroll. Payroll will complete the cash out upon request, provided the requested cash out amount has accrued and is consistent with the amount the employee predesignated. If the full amount of hours designated for cash out is not available at the time of cash out request, the maximum available will be paid. 5. For employees who have not requested payment of the elected cash out amount by November 1 of each year, Payroll will automatically cash out the pre-designated amount in a paycheck issued on or after the payroll date including November 1. Employees who pre-designate cash out amounts may request a cash out at any time in the designated tax year by submitting a cash out form to payroll. For employees who have not requested payment of pre-designated cash out amounts by November 1 of each year, Payroll will automatically cash out the pre-designated amount in a paycheck issued on or after November 1.

Vacation Cashout. Employees may request the Employer to cash out up to 40 hours of their accrued, unused paid vacation time once per fiscal year, in order to attend to personal and/or family instances of need and to lessen the burden of such circumstances. Provided, however, that an employee will not be able to draw their vacation accrual balance below 32 hours, so that the employee will still be able to have paid time off for sustainability practices. In order to access these funds, employees must request the cash out in writing by email, indicating the amount of hours to be cashed out, to appropriate HR staff. The employee need not provide details of said need.

Vacation Cashout. In each calendar year, an employee may make a one-time request to cash out and receive payment for up to forty (40) hours of vacation. In order to be eligible to cash out vacation hours, the employee must be a regular status employee and have a remaining vacation balance of sixty (60) hours or more. Vacation leave that has been pre-approved will be considered when the request is made in order to determine if they will maintain the minimum vacation balance requirement.
Vacation Cashout. Employees may cash out any vacation balance in excess of 80 hours. Cashouts may be requested at any time during the year. Cashouts must be for a minimum of 40 hours.
Vacation Cashout. An employee who has an available balance of one-hundred and twenty (120) hours of vacation leave shall have the option of cashing out between twenty (20) and forty (40) hours of vacation leave once per fiscal year. Each vacation cashout request shall be submitted to the Human Resources Manager in writing who will verify the employee is eligible for vacation cashout. Part-time employees shall be eligible and receive a vacation cashout prorated to that individual employee’s FTE. Such vacation cashout shall be paid out in the next pay period following the Human Resources Manager’s verification of eligibility. This vacation cashout shall be paid at the employee’s regular straight time hourly rate and does not count as hours worked. Vacation cashouts are only processed by request.
