Work Order Management. The Concessionaire shall track and document work orders using a software program (or the Institution’s existing program) to manage work orders. Work orders will be categorized as emergency, urgent, expedited and routine as outlined below and responded to accordingly. Information gathered through the use of the work order program will be used to assist in monitoring and maintaining the facility, and the work order program will assist in tracking preventative maintenance and annual inspections to determine the condition of the facility. The work order program shall have an online user interface that will allow online submission of requests by Residents and Residence Life staff, provide notifications of work orders to Institution staff, and provide access to status reports and dashboards by the Institution. The work order systems should generate annual, six (6) month, three (3) month, monthly, weekly and daily work orders. The length of time between certain scheduled or routine work orders will depend on manufacturer recommendations, if applicable. All work must be performed in compliance with established Institution policies to ensure the safety of faculty, staff, students, and visitors.‌
Work Order Management. Management shall implement a process with which to efficiently manage the community, complete work orders without delay, and effectively communicate with the Board, residents, parcels and other committees. Acknowledgement of receipt of the work order shall be provided to the homeowner within two (2) business days. Work Order records for each unit shall be maintained electronically and summary reports prepared for the Parcel Committees and Board. Such reports shall include the status (open, completed, waiting for approval, waiting for supplies, etc.) of the work order, for the prior twelve (12) month period. Records shall also include parcel projects and projects identified during inspections. Management shall provide the necessary computer software to record, control and analyze Work Orders.
Work Order Management. Xxxxx Springs shall provide access to the vendor of Xxxxx Spring’s work order system to document and track service requests. The vendor will continue to utilize current, previously established protocols to manage work flow between the call center and City staff. Xxxxx Springs will make every effort to provide any new protocols in writing to the vendor at least fourteen (14) calendar days in advance of the effective date of the new protocols. Xxxxx Springs shall provide weekly/monthly name lists from its vendors as to the Emergency After-Hours phone tree and any new phone lists as per protocol.
Work Order Management. During meter deployment, PMI (the installation contractors) will utilize a Work order management program that will collect predefined information regarding each installation. This information will include unique identifying serial numbers to load into Xxxxxx Island’s InHANCE billing system.
