Meetings and Communication. We believe communication is the key to successful development programs. The frequency of meetings would likely vary during the project. During the first few weeks, the first technical meetings and project meetings would most likely be daily in order to develop a working baseline about the system. Later during the project, weekly or bi-weekly meetings may suffice. It will be the responsibility of the team to determine the appropriate meeting schedule and locations. All meeting minutes will be documented and distributed to SBCL and UMM. A project status meeting, would be scheduled on a monthly basis separate from the technical meetings. The meetings could be held at either location at SmithKline's option. The appropriate personnel would attend as necessary and a project status report will be provided at the meeting. Minutes of the meeting including action item assignments will be provided within 1 week following the meeting unless a joint decision to do otherwise. The project team meetings should include a complete cross section of the organization that will be responsible for the product. Again, specific involvement at the meetings may vary during the course of the development. However, the overall team should be comprised of personnel from marketing, regulatory affairs, quality, product development, purchasing, manufacturing, finance, clinical affairs, and service. Depending on the structure of your organization, additional responsibilities may be independently represented. Groups such as reliability, safety, planning and technical publications may also be represented on the overall project team.

Volunteers will not make such commitments on behalf of the South African National Quran Council, except in accordance with established South African National Quran Council policies. 6.1.2.5 All South African National Quran Council correspondence, regardless of the medium is a reflection of the association. Email communications shall follow the same professional standards as verbal communication. Emails may be considered legal documents and, therefore, caution shall be exercised when recording written opinions and statements pertaining to the role of the volunteer in the South African National Quran Council. The use of the “blind copy” function is strongly discouraged when conducting official South African National Quran Council business. 6.1.2.6 In appropriate communication by email or in any public forum about the South African National Quran Council, its volunteers, members, staff, policies, procedures or guidelines is not acceptable. Issues regarding the South African National Quran Council shall be taken up in private with the appropriate South African National Quran Council staff member.

Meetings and Communication. CONSULTANT will be responsible for coordinating meeting times, inviting meeting participants, creating an agenda, preparing graphics and handouts, facilitating meetings, and providing meeting summaries. The anticipated design team meetings and activities are as follows: a. Conduct monthly meeting with the project team. b. Conduct sub-consultant and in-house team meetings. c. Conduct pre-review overview meetings with County reviewers prior to major submittals to deliver and explain submittal. d. Conduct major review comment meetings to discuss review comments and responses with the County and the project team. e. Conduct minor review comment meetings to discuss review comments and responses with individual reviewers for comments identified as needing additional resolution. f. Conduct other meetings as needed or required. • Meeting agendas and displays. • Meeting summaries as required. • Responses to all review comments.
