Mandatory Meeting. The Renter agrees to attend a mandatory 10-15 minute meeting to review Rental Agreement with the Hall Rental Coordinator. This will be done at the time of key pick-up for scheduled event/activity. Any questions or concerns regarding use of the facility or rules and regulations should be clarified at this time, as nonconformance will result in partial or total forfeiture of deposit.

This will serve as a last-minute walk through of the venue to make sure we have acquired all the Renter’s vendor information, event time-line and to review a schematic of event set up. REFUNDABLE SECURITY/DAMAGE/OVERTIME DEPOSIT $300 This deposit is made to cover loss, damage, fines, overtime and to ensure proper cleanup of the facility. Facilities and equipment are to be left in the same condition they were in before the event. The Renter shall be required to pay the full amount of any costs incurred because of breakages, losses, damage, or improper cleanup whether caused by the Renter, or the Renter’s guests, contractors or agents. If the full cost is less than the deposit, the difference shall be refunded. If the full cost is greater than the deposit, the Renter must pay the difference. Improper cleanup will result in all or part of the deposit being withheld. The deposit will also cover any additional hours used and not paid for in advance. The deposit check may be deposited to cover any of these occurrences and a refund check of the remaining balance will be sent to the Renter. The deposit is due thirty (30) days prior to the event. It will be held until an assessment of property condition and overtime is made. OVERTIME FEE $300/hour Xxxxxx House rental rates are based on a seven-hour rental. Schedule your time carefully so that you allow plenty of time for setup and cleanup. You may split your time. For example: 9:00 - 11:00am for setup, 4:00 - 8:00pm for your event, 8:00 - 9:00pm for cleanup. Different events will require different time allowances. Overtime fees will be charged per hour for any portion of an hour that the event runs over your contracted rental. THESE CHARGES WILL NOT BE WAIVED and will be deducted from your security/damage/overtime deposit. COURTESY DISCOUNT We offer a 10% discount for Claremont Heritage members at the following levels: Cornerstone Circle, 1887 Founders Circle and Xxxxxx Circle. A 20% courtesy discount for Claremont based non-profit organizations is available. RESERVATIONS/PAYMENT POLICY The Renter must sign the Claremont Heritage Rental Agreement for Xxxxxx House and pay a non- refundable deposit to save the date. Mandatory Meeting. DESC acknowledges that consistently scheduling mandatory meetings and training during daytime hours unevenly burdens staff on swing and night shifts. To this end, DESC will attempt to alternate scheduling mandatory meetings and trainings at the beginning and end of DESC office hours to lessen this burden. Routine mandatory meetings or trainings will be scheduled with at least 14 days advance notice. Staff who anticipate a conflict will notify a supervisor as soon as the conflict has been identified. Staff authorized to miss a mandatory meeting or training will be given the opportunity to review written notes or a video recording from the meeting or training. All youth initiatives must maintain the appropriate ratio of staff to youth in accordance with the guidelines set forth in the TAMU-CC Youth Initiatives Manual at all times. The Office of Community Outreach establishes the required ratio of camp staff to campers for each youth camp/program. Default and Remedies: Tenant is in breach of this Contract if: Tenant fails to pay Rent or any other amount owed under this Contract, as and when required by this Contract; Tenant fails to pay any fine within 10 days after it is levied in accordance with this Contract or the Rules and Regulations; Tenant has made any false statement or misrepresentation of any information supplied to Manager or it is discovered that the Contract was tampered with or modified in any way without consent of Manager; Tenant creates a nuisance or disturbance within the Premises; Tenant or Tenant’s participant(s) violates this Contract, the resident handbook, the student code of conduct, any rules regarding the Premises, or any fire, health or criminal laws, codes, and regulations; or A Participant establishes an unacceptable pattern of misconduct when they are frequently documented for violations of policy. Although individual offenses might be minor, the pattern is considered chronic misbehavior. A pattern of chronic misbehavior, irresponsible conduct, or manifest immaturity may be interpreted as a significant disciplinary problem and can result in termination of this Contract.
