Utility Coordination Meetings. 5 The Utility Adjustment Coordinator shall hold utility coordination meetings on a weekly basis or 6 more often as needed, with ADOT and the Utility Companies to communicate with the Utility 7 Companies, Developer’s staff, and others to ensure that conflicts are being resolved throughout 8 the duration of the design of the Project.

Utility Coordination Meetings a. The Engineer will attend online corridor wide utility coordination meetings at the client’s request. The Engineer will attend up to nine (9) coordination meetings. b. The Engineer will attend online coordination meetings with the four adjacent project design teams. The Engineer will attend up to eight (8) project meetings.
Utility Coordination Meetings. To facilitate the development of each utility relocation plan, Contractor shall organize, conduct, prepare for and attend the following utility coordination meetings with utilities within the Project limits: ▪ Up to two (2) group meetings with the utility purveyors within Project limits. ▪ Up to six (6) individual meetings with utilities within Project limits. Contractor shall review the survey basemaps and utility as-built information and hold an initial coordination meeting with the utilities within the Project limits to validate the accuracy of the survey basemaps and discuss potential system upgrades. Additional meetings will be held with individual utilities to discuss potential conflicts with the proposed design after the conceptual design phase. ▪ For budgeting purposes it is assumed that up to two (2) Contractor staff shall attend each two (2) hour meeting.

Utility coordination shall include the identification of utility conflicts, coordination, compliance with any applicable utility accommodation rules, and resolution of utility conflicts. The CONSULTANT shall coordinate all activities with the City, or their designee, to facilitate the orderly progress and timely completion of the Project’s design
Utility Coordination Meetings. The Consultant will conduct two (2) utility coordination meetings with representatives of various utility companies. The first meeting will be to advise the utility of the nature and extent of the proposed improvements and solicit mapping and input from the utility to develop an understanding of the order of magnitude and limitations of their facilities located within the project corridor. The second meeting will be to review the collected field data, identify any missing information, share with each utility the proposed functional layout of the project, and begin initial assessments of impacts to each utility. The Consultant shall document all communications and correspondence with each utility company and share with the City prior to the start of preliminary design. Task 7 – Maintain and Update Project Mailing List The Consultant will maintain the project mailing list and update it as needed to include all local officials, agencies, and interested parties. The City will provide the initial list of interested parties.

Utility Coordination Meetings. To facilitate the development of each utility relocation plan, Consultant shall organize, conduct, prepare for and attend the following utility coordination meetings with utilities within the Project limits:  Up to five (5) individual meetings with the utility owners. In preparation of the meetings, Consultant shall review any as-built and utility information collected to determine if there are potential conflicts with the proposed design and shall hold an initial coordination meeting with the various utilities to validate the accuracy of the as-built and base map. The Consultant shall include potential conflicts with buried utilities and identify locations where potholing may be required. The location of the potholes will be determined based on the 60% design effort of the roadway, and utility improvements, which will identify critical points that need to be checked. Utility owners will complete the work for potholing of their facilities. If negotiations are unsuccessful, City will procure potholing services.  For budgeting purposes it is assumed that up to two (2) Consultant staff shall attend each two (2) hour meeting.

In preparation of the meetings, Consultant shall review the as-built and utility information collected from the surveying task and identified in the utility assessment memo to determine if there are potential conflicts with the proposed design. The analysis shall include potential conflicts with buried utilities and identify locations where potholing may be required. Once this information is gathered, Consultant shall hold an initial coordination meeting with the various utilities to validate the accuracy of the as-built and base maps. The actual potholing of utilities shall be completed during the preliminary design phase, when the potential conflicts with utilities are defined. The location of the potholes will be determined based on the preliminary profile of the roadway, and utility improvements, which will identify critical points that need to be checked. Initial discussions and coordination with utilities will be that excavation of the potholes will be completed by the utilities. If negotiations are unsuccessful, City will procure potholing services.  For budgeting purposes it is assumed that up to two (2) Consultant staff shall attend each two (2) hour meeting.

Following the completion of the topographic survey, the Consultant shall review the survey base maps, record utility information and hold an initial group coordination meeting with the utilities within the Project limits to validate the accuracy of the One-Call locates and data incorporated on survey base maps. This meeting will also be utilized to discuss system upgrades and potential undergrounding of facilities. Additional meetings will be held with individual utilities to discuss potential conflicts with the proposed design after the conceptual design phase. Assumptions:  For budgeting purposes, it is assumed that up to two (2) Consultant staff shall attend the group meeting.  For budgeting purposes, it is assumed that one (1) Consultant staff shall attend each of the individual utility two (2) hour meetings.
