Overnight Lodging Clause Samples
The Overnight Lodging clause establishes the terms under which overnight accommodations are provided or reimbursed in connection with the agreement. Typically, it specifies who is responsible for arranging and paying for lodging, the standards or limits for acceptable accommodations, and any required documentation for reimbursement. This clause ensures that both parties have a clear understanding of lodging expectations and financial responsibilities, thereby preventing disputes over travel-related expenses.
Overnight Lodging. The Employer shall provide clean and safe overnight lodging and reasonable transportation for after- hours use while employees are assigned to locations other than their home location. Absent agreement, drivers shall not be required to chaperone passengers outside the bus. Drivers shall not be compelled to share a hotel room. The Employer shall make lodging and transportation arrangements in advance.
Overnight Lodging. Supervisors are responsible for ensuring that lodging provided for all employees is adequate and equitable. Employees should stay in hotel lodging when and if possible. There are situations however, where the ability to provide hotel lodging may be limited including but not limited to:
a. Work conducted in remote locations.
b. Work conducted on horseback trails; or
c. Where operational needs exist (i.e., SWAT, Emergency Response, etc.). Dormitory style lodging at Camp ▇▇▇▇▇ and DPSST will continue to be mandatory for training, including in-service training. Employees will be given the option of staying in the Bachelor Officer Quarters (BOQ) or Non-Commercial per diem in lieu of Starship accommodations at Camp ▇▇▇▇▇. For in-service training that includes alternate accommodations, such as camp outs, employees shall have the option of staying in a hotel.

Employees will be reimbursed for all reasonable costs related to travel, including registration and other conference fees, transportation costs, meals and incidentals (per diem rate), lodging, parking, etc. Authorized per diem rates shall be reimbursed at current rate established by the U.S. General Services Administration. In all circumstances, and if possible, overnight lodging reservations should be made prior to the stay, and a district purchase order should be utilized. In cases where a district purchase order cannot be utilized, employees may pay for the expense and be reimbursed by the District according to current district procedures.

Expenses: No employee shall be required to front any lodging, fuel, or repair expenses. The Employer shall reimburse all drivers for telephone calls and expenses incurred having a direct relation to operations. Expense reimbursement shall be paid no later than the next pay period following the submission of receipts. Pay Checks: Any payroll discrepancy of $30 or more, not due to the fault of the employee and promptly brought to the attention of management shall be corrected within 48 hours by check. Payroll discrepancy of less than $30 will be corrected in the following week's paycheck.

26.5.2 When the Patrol Vessel Guardian patrols away from its home port and moors overnight at sea or other ports; the crew is required to sleep on board if moorage is away from their assigned duty station or patrol area. Crew members that are required to sleep overnight on the vessel will be compensated at the non-commercial lodging rate for that night. The Division Supervisor may waive the above requirement upon the fourth (4th)

Crew members that are required to sleep overnight on the vessel will be compensated at the non-commercial lodging rate for that night. The Division Supervisor may waive the above requirement upon the fourth (4th) consecutive night of patrol and each fourth (4th) consecutive night thereafter, and allow the crew a one (1) night stay at commercial lodging reimbursed at the state per diem rate. When multiple genders are assigned to the vessel and it is overnight outside of home port, the gender with the least number of represented crew on the vessel will be allowed to stay at a commercial lodging facility and will be reimbursed at the state per diem rate.

1. Paid Time Drivers will be paid their assigned number of hours for student days, holidays, and snow days. Drivers will be paid their rate, according to Appendix A (Rates of Pay), for attendance at training, road tests and monthly department meetings.
