Public Open House. The Consultant will conduct one (1) in-person and one (1) virtual public open house following the completion of draft alternatives. The purpose of the first open house event is to share the project goals, project alternatives and is meant to gather feedback on community needs and questions related to corridor improvements. These events may be held simultaneously or sequentially, based on City direction. The content and activities for both events will be the same so the community can have a similar experience in-person or online. . ♦ For the open house event, the Consultant shall: • Develop an event plan. • Host the event, including set-up and tear down, if in person, and creating a web platform, if virtual. For in-person event, Consultant shall ensure the event includes bike parking. • Produce sign in sheet and up to two (2) additional event materials (i.e. displays) • Produce a public open house summary. ♦ Open houses will be attended by up to two (2) Consultant team members. Deliverables: ♦ Event plan ♦ Comment form ♦ Sign in sheet and two (2) additional event materials ♦ Online open house event hosted on Consultant platform ♦ Open house summary summarizing both the in-person and online events Subtask 5.5 – Stakeholder and Small Group Meetings Consultant shall schedule, facilitate and document up to four (4) meetings with stakeholders along the corridor to inform the alternatives development. Meetings may be held online, by phone or in-person based on convenience for the stakeholder. As it makes sense, meetings may include multiple stakeholders. The purpose of these meetings is to understand design needs, concerns, and opportunities to keep the stakeholder(s) informed throughout the process. Staff from the City and one (1) local consultant team member will participate in the meetings. One (1) exhibit will be prepared for use in meetings. Deliverables: ♦ One (1) exhibit to present in stakeholder meetings ♦ Notes from four (4) stakeholder meetings
Public Open House. Halff will conduct a community open house towards the end of the outreach phase of the planning process. This open house will follow Council, P&Z, Stakeholder, CPC and Core Staff Team inputs and exercises. The purpose of the open house is to present some preliminary plan themes, collect community preferences and big ideas, and glean a clear understanding of the citizen desires for future growth and development. The event will be a come-and-go format with educational elements, interactive inputs, survey-taking, kids corner, refreshments, and open conversation. There will be no presentation or townhall type Q&A at this event. Products – Halff to prepare education and input stations and provide staffing for the event. Provided by City of Bastrop - Establish location and time for the event, provide refreshments, advertise, provide laptops, tables/chairs, and general meeting logistics.
Public Open House. Documents will be provided to County Staff to post on the Airport’s website. The content provided will not be created specifically for social media, rather the content already provided at either a County Commissioners Meeting or Stakeholder Review meetings will be prepared as PDFs for MTJ staff to post on their Social Media sites. Public Open House. The open house will provide the opportunity for the public to submit feedback on previous phases of utility replacement work and to provide recommendations and comments for the upcoming projects based on the 60% design. Our project manager will present the plans and discuss anticipated impacts during construction, such as private property and tree impacts, traffic control plans, road closures, utility service disruptions, and - if needed - potential environmental concerns associated with CIPP work. We will prepare boards and other materials for public meetings as needed. Materials will be provided a week in advance of Public Open House for staff review and approval. Public input will be incorporated into the Preliminary Design Memorandum.

Public Open House. The team will host a public open house in a workshop format so that residents can break out into groups based on the sections of the ordinance that they would like to focus on. We will also provide comment sheets for any general comments.
Public Open House. Prepare for and attend public open house events to communicate to the public the direction of the project design and receive input from the public regarding preferences, concerns, etc. related to the direction of the project. Provide facilitation support to City and design team for one internal planning workshop.
Public Open House. This is the public kick-off event. The open house, exhibits and supporting materials will have 3 key objectives: (1) provide clear links to the policies and priorities of Johnstown Area Comprehensive Plan and other long-range plans; (2) elevate the understanding of important development concepts and potential regulatory strategies; and (3) clearly convey the physical impact that existing and potential regulations have on development and investment in the community. Based on the final engagement strategy, these can either be arranged around focus groups for each topic or organized as stations for an open house, or a combination of these strategies. What is critical about this meeting is that it is the start of the discussion, and the Plan Conformance Report will be used to bring everyone to the discussion with the same basic level of information and the same understanding of the scope and nature of what may change, including a range of options for further consideration and discussion.
