Taking Vacation. Vacation entitlement not taken or carried over shall not be paid out. Employees are responsible for making all reasonable efforts to ensure that vacation due in a particular year is either taken or carried over as provided in this Article. Employees with excess vacation at year end must schedule and take this vacation as soon as possible which shall not be later than February 28 for Office employees or April 30 for all Yard and Leisure Services employees.

Taking Vacation a. In principle, vacation days should be taken in the calendar year during which they are earned. b. In the absence of a collective vacation period, an employee may determine his/her own vacation period, provided that he/she notifies his/her immediate supervisor in writing of his/her intention to take a consecutive vacation period, unless it will result in insufficient levels of staffing during the period in question. c. Taking other vacation days can be verbally agreed in advance. d. Whenever the employer deems it necessary for the interest of the company, the employer can, in consultation with the employee, change a vacation that has already been approved. Any loss suffered by the employee as a result of this decision will be reimbursed by the employer

If this has not been done, the employer (after proper consultation with the employee) will designate the remaining hours to be taken six months after the end of the relevant calendar year. 32.3.2 The employee may claim a continuous vacation of 21 calendar days once per year. If desired, efforts will be made to ensure that this vacation can be taken during the elementary school vacation period. 32.3.3 As a rule, the employee will take vacation for a period of at least 14 consecutive calendar days in each year. 32.3.4 Without prejudice to the provisions of Article 32.3 (right to take vacation), the employee needs permission from the immediate supervisor in order to take vacation. Permission to take vacation hours will be denied only in the case of substantial business interests. 32.3.5 A request to take vacation for a continuous period (e.g. summer vacation, Christmas vacation) must be submitted to the immediate supervisor in a timely manner. The decision on the request will take into account both the interest of the employee concerned and of the employer, and the interests of the other employees working within the department. In principle, the interests of the other employees are only taken into account if and insofar as they have indicated their wishes in time. 32.3.6 When the employee takes vacation during illness, the vacation hours taken will be deducted from his credit.

Taking Vacation a. Employees are eligible to use their accrued vacation only after they complete ninety (90) days of service with the Employer. b. Use of vacation must be pre-approved by the Employee's supervisor. Use of vacation for sick time or family emergencies requires the Employee to notify their supervisor as early in advance as possible. The supervisor may deny requests for vacation based on staffing requirements of the unit/department. c. An Employee taking time off must use vacation or sick time (whichever is applicable), except in the case of an MDO (Mandatory Day Off). d. An Employee who is asked to "flex-down" or take an MDO day may elect to utilize their accrued time off or they may take the MDO without pay. If the Employee chooses to use their accrued time off, they may use any combination of hours to represent an entire shift, minus any time they worked during that shift. e. During the peak vacation months of June, July, August and December, vacation will be granted in increments of no more than two (2) consecutive weeks, unless mutually agreed upon by both parties. f. Vacation during holidays including Thanksgiving, Day after Thanksgiving, Christmas Day, New Year’s Eve, and New Year's Day, may not be granted two (2) years in a row for those units/departments and areas that are open on these holidays. At these holiday times, vacation will be granted in increments of no more than one (1) week provided that department staffing needs can be met and the same holiday was not taken off in the previous year, unless mutually agreed upon by both parties. g. Accrued vacation, eligible for use, is reflected on the Employee's pay statement each pay period. Employees may only access vacation hours accrued and reflected on the most recent pay-advice. Vacation in excess of accrued hours cannot be taken as paid.
