Event Planning. 1. Work collaboratively to plan and implement events as described in the Residence Life & Housing Connections Model.
a. Assume an active role in the event planning process.
b. Ensure that you are leading an appropriate amount of events to be set by your Area Coordinator.
c. Be available to assist with other staff members’ events.
2. Submit all necessary paperwork (i.e. planning documents, evaluations) as scheduled.
Event Planning. 2.1 Event Layout Drawings - Layout plans shall only be submitted to DWTC using the latest approved Master Plan template provided by DWTC specifically for that purpose.

Event Planning. For each catered event, a College-designated Event Planner will coordinate all aspects of the event through College’s Events Scheduling & Information Office. All Caterer’s communication with regard to the event must be routed through the Event Planner to the appropriate service department on campus. At no time will the Caterer contact any service department or College scheduling staff directly. The Event Planner is responsible for working through the events scheduling process to arrange for the appropriate facility for the event. At no time will the Caterer recommend the appropriate venue or attempt to reserve the venue for an event. Coordination of unlocking and locking buildings, media needs and room set up are strictly the responsibility of the Event Planner. Facilities Services, Dining Services and Media Services will not be available to provide these services and Caterer shall not contact any of these services directly.
Event Planning. ● In an effort to assist our staff with executing your event, we ask that the Client respond to all communication or questions from TWE within 48 hours. ● Each event may have no more than two (2) designated decision makers. ● TWE requires a licensed and insured wedding planner that is approved for all events. ● Planner will make sure everyone adheres to the timeline, handles vendor issues and executes clients vision of the event. ● For continuity of service, TWE does not allow planners to contract out ‘day of services’. Without prior approval and client's knowledge, the planner who initially books the client must be on site the day of the event. ● The planner must provide a detailed timeline and floorplan no later than 30 days before the event date to TWE @ xxxxxxx@xxxxxxxxxxxxxxxxx.xxx . ● Room Flip: Planner must bring necessary assistance to the flip the room in a timely manner. TWE staff handles the initial room setup of tables and/or chairs. If a room needs to be flipped, the event planner will be responsible for tables/chairs and any decor setup. Caterers are responsible for linens drop, placesettings, napkins, food service, bussing, water and coffee service, and clearing during the event in a timely manner. The venue manager and/or TWE staff will not be available to help with the room flip. Any additional time or overage will result in additional charges to the client at a rate of $250 per ½ hour. Again, TWE will handle the initial room setup, while any same day changes can be made by the planner. ● Planner must be on site for the duration of the rental from load-in to load-out. ● Rehearsals may be scheduled with a confirmed time within 30 days of the event date. ● The planner is in charge of the setup of all decor and breakdown/clean up of all decor, which includes cleaning up florals/rose petals on the floor. Ex. If a client would like fresh or silk florals along their ceremony aisle, it is the responsibility of the planning staff to clean up post ceremony. ● DIY Décor and Design must be approved by your certified wedding or event planner and they are responsible to setting up and executing the event. ● ALL Vendors must be confirmed and sent to TWE (60) days prior to your scheduled event date along with a completed Vendor Update Form. ● Changes of designated decision makers may be made only by the Client. ● The change must be made in writing acknowledged by XXX. ● No party other than the designated decision makers may change the contract in any way...
Event Planning. Cinema Ballroom provides an event coordinator to compile event notes, floor plan and rental order. Included in the rental fee is an initial planning meeting which may be before or after signing of contract and a final planning meeting which should be scheduled within thirty (30) days before event. Additional meetings may be scheduled for an additional fee.
Event Planning. 3.1 WWSC encourage customers to plan and prepare for their event in detail. Any essentials that customers may require for equipment, catering, beverage, staff, etc should be requested, and agreed in writing.
3.2 Any equipment being brought into the premises, will require the approval of WWSC. Upon agreement, the appropriate safety certifications will need to be supplied. If these are not supplied prior to your event booking, WWSC reserves the right to deny entry of any equipment brought to the event.
3.3 WWSC does not permit the independent selling of tickets or external publicity of any kind without its prior written consent.
Event Planning. (a) In an effort to recognize the Program and its securement accomplishments, the Organization will maintain and share with NCC a three-month look-ahead calendar of proposed Formal Events, Informal Events and Other Events celebrating the Program and/or its accomplishments. The calendar will be shared with ECCC Communication staff at NCC’s and ECCC’s quarterly communications meetings.
Event Planning. 2.1 Event Layout Drawings - Layout plans shall only be submitted to DWTC using the latest approved Master Plan template provided by DWTC specifically for that purpose. Layout plans of exhibitions shall be prepared by the organiser and shall consider the maintaining of fire doors and routes, firefighting equipment in the halls, electrical distribution boxes, a recommended main central aisle way of at least 3 meter wide and 2.5 meter wide minimum for secondary aisles and toilet facilities. Layout templates are available through the Event Planner, which contain these locations and aid the development of the event layout. At all the venues, all fire exits, shutter doors, corridors and ac- cess zones must remain clear and available at all times. This policy must be reflected in the layout drawings.
