Contract Meetings.
1. The Contractor will be responsible for the completion of a variety of administrative and reporting requirements, and the cost of same will be included in the Monthly Maintenance Fee.
2. Upon award of a Mini-bid Agreement and prior to the start of any work, the Contractor shall be available for an initial job meeting with the Authorized User Representative. This meeting shall include:
A. The Contractor's submission of the Maintenance Control Program to be reviewed and approved by the Authorized User.
B. A review of all Authorized User facility use rules.
C. An introduction for each respective Authorized User organization, chain of command, etc.
3. Unless otherwise directed by the Authorized User, there shall be monthly job meetings for the following purposes:
A. Review job progress, quality of work, and approval and delivery of materials.
B. Identify and resolve problems that impede planned progress.
C. Coordinate the efforts of all concerned so that the Mini-bid Project Definition progresses on schedule to on time completion.
D. Maintain a sound working relationship between the Contractor and the Authorized User, and a mutual understanding of the Mini-bid Project Definition requirements.
E. Maintain sound working procedures.
Contract Meetings. .1 The Property Manager shall attend regular monthly contract meetings with the Minister and other meetings requested by the Minister as part of Operations. The Minister will chair the meeting and record the minutes. Standing agenda items shall include the review of, but not be limited to: .1 Previous minutes, including approval .2 Occupational Health and Safety, and prime contractor activities .3 Financial reports .4 Projects; completed, in progress and planned .5 Reports; e.g.: caretaking, preventative maintenance, water treatment, energy management, log books .6 Insurance requirements; Liability, Fidelity, WCB, and Performance Security

Contract Meetings. Meetings will held on a quarterly basis between The Provider the contract holder and the Council to review how the service is performing.
Contract Meetings. When operational requirements permit, the Employer grant leave without pay to an employee for the purpose of attending contract negotiations meetings on behalf of the Alliance.
Contract Meetings. The Employer will grant leave with pay for two (2) employees for-the purpose of attending contract negotiations on behalf of the Union for the duration of such negotiations. The Employer will grant leave with pay for two (2) employees for a maximum of one
Contract Meetings. Upon proper notification and at the discretion of the Senior Officer, the Employer will grant leave without pay to a maximum of two (2) employees to attend preparatory negotiations meetings. Where requirements permit, the Employer will grant with pay to a maximum of two (2) employees who are meeting with management on behalf of the Union. Executive Council Congress and Conventions Where operational requirements permit the Employer may grant reasonable leave without pay to a reasonable number of employee’s who are acting as delegates to attend executive meetings and conventions of Employees Union, the Alliance, Canadian Labour Congress and Northern Territories Federation of Labour. The Employer may grant reasonable leave without pay to employee’s who exercise the authority of a Representative on behalf of the Union to undertake training related to the duties of a Representative.

6.1.2 Upon award of the contract and prior to the start of any work, the Contractor shall be available for an initial job meeting with the owner’s representative. This meeting shall include:
6.1.2.1 The Contractor’s submission of a schedule of work to be reviewed and approved by the Trust.
6.1.2.2 A review of all agency facility use rules.
6.1.2.3 An introduction for each respective agency organization, chain of command, etc.
6.1.3 Unless otherwise directed, there shall be monthly job meetings for the following purposes:
6.1.3.1 Review job progress and quality of work.
6.1.3.2 Identify and resolve problems that impede planned progress.
6.1.3.3 Coordinate the efforts of all concerned so that the contract progresses on schedule to on-time completion.

1. Contract Kick-off Meeting
2. Pre-Shipyard Period Planning Meetings
3. Shipyard Period Progress Meetings
4. Annual Performance Review Meetings
5. Additional project meetings deemed necessary by DOT The Contractor will be advised of times, dates, and places of DOT Representative-scheduled contract meetings. The initial Contract Kick-Off Meeting will be scheduled after issuance of the Contract Notice to Proceed (NTP). This meeting will be used to establish contract protocols and procedures, such as invoicing and reporting. It is anticipated and should be assumed that the Contract Kick-off Meeting will be held at the Staten Island Ferry Facility in New York City. The following is an example of some topics that might be covered at the Kick-off Meeting: Discussion of insurance, laws, codes, permits, quality control, inspection and related items; Discussion of procedures for processing Condition Reports, Condition Found Reports, and Deliverables; Discussion of invoice and payment procedures; Discussion of the treatment of changes throughout the duration of the Contract; and Establishment of final reporting requirements. Shipyard Period Planning Meetings shall be held prior to the commencement of any shipyard Work period. DOT and pertinent other DOT personnel will attend this meeting. All appropriate Contractor staff shall attend the meeting. The following is an example of some topics that might be covered at a Planning Meetings: The Contractor will introduce Contractor’s representatives, and briefly describe each person’s responsibilities; The Contractor will distribute and discuss a list of subcontractors and suppliers, sequence of critical proposed Work, the preliminary schedule and the submittal schedule; The Contractor will discuss plans for vessel receipt, testing, and redelivery; The Contractor will discuss use of office, storage areas and Work areas; The Contractor will define arrangements for safety, first aid, emergency actions, and security; The Contractor will discuss Work methods and coordination of Work within the provisions of the Contract; The Contractor will discuss the Work sequencing; The Contractor will discuss coordination with the Work of subcontractors; The Contractor will discuss deliveries of long lead-time materials and products; and The Contractor will discuss breakdown of lump sum and unit price items. Contract Meetings. Where operational requirements permit, the Employer will grant leave without pay to a maximum of six (6) employees for the purpose of attending contract negotiation meetings on behalf of the Alliance. The Employer agrees that while employees are attending contract negotiation meetings, the Employer shall continue any fringe benefit contributions and employees shall continue to earn any applicable credits. The parties have agreed that two (2) of the six (6) employees attending contract negotiation meetings in (a) above, where practicable, will be from a location outside of the City of Whitehorse. Notwithstanding (a) where the employee has been granted leave without pay to attend the initial contract negotiation meeting on behalf of the Alliance, the Employer will grant leave without pay to the employee for all subsequent contract negotiation meetings.
