The 'Requesting Time Off' clause outlines the procedures and requirements employees must follow to formally request leave from work. Typically, this clause specifies how much advance notice is needed, the method for submitting requests (such as through an online system or written form), and any documentation that may be required for certain types of leave. Its core practical function is to ensure that both employees and employers have a clear, consistent process for managing absences, which helps maintain workplace organization and adequate staffing levels.
Requesting Time Off. Employees are permitted to request time off or alter hours of work for personal reasons. Requests are to be in writing and employees are to exercise best efforts to provide such a request seventy-two (72) hours in advance of the scheduled shift.
Requesting Time Off. Employees desiring to be absent from duty on any day or days other than regular assigned non-working days, must notify the Company in writing, not later than seven (7) days prior to the date requested. The Company will approve or deny the above, in writing, within ten (10) days of request submission. This provision will not be applicable when employees are unable to give notice of intended absence due to illness. In the event an employee needs time off and is unable to notify the Company seven (7) days in advance as outlined above, the Company will make every possible effort to grant the employee’s request whenever possible.

Requesting Time Off. A leave request form is to be submitted by the employee and approved by the employee's supervisor prior to the leave commencing. In the event of an unforeseen absence, the employee shall contact their immediate supervisor or representative as directed by the Department Director within 30 minutes of the start of their normal scheduled shift. If a regular employee requests specific days off at least six weeks in advance, and if that request is otherwise proper under this Article, that time shall be considered locked and cannot be displaced by a non-regular employee seeking to take the same time off.

Unpaid Leaves: The Executive Director authorizes unpaid leaves, as requested, on a case-by-case basis. Failure to return to work as scheduled from an approved leave of absence without informing the Executive Director of an acceptable reason for not returning as scheduled may be considered a voluntary resignation of employment. Unpaid Leaves are defined as follows: Family and Medical Leave Act (FMLA) The Family and Medical Leave Act allows employees who have met minimum service requirements (12 months of employment with the agency and 1,250 hours of service in the preceding 12 months) to take up to 12 weeks of unpaid leave. Requesting Time Off. Following the UNISON AGM (normally held in February each year), the Branch Secretary will inform the Director of HR in writing of the names of those elected to each position and confirm who will be attending UNISON conferences in the coming year. UNISON will also notify HR of any subsequent changes made to the list of representatives during the course of the year. Procedure for requesting time off for trade union duties The Open University does not expect UNISON to request time off formally through Human Resources for representatives to carry out their trade union duties (section 3) (except for ‘additional approved meetings’). However, there is a requirement that representatives request and agree time off in advance with their line manager. Any requests for time off should be made with as much notice as is reasonable in the circumstances. Agreement to time off will not unreasonably be withheld, but the operational needs of the Unit will be taken into account when considering requests. Procedure for requesting time off for trade union activities and training The following procedure applies to requests for time off for UNISON members and representatives to pursue their activities (section 4) and for representatives to undergo relevant training (section 6). Throughout the course of the year the Branch Secretary will request time off for representatives and members in line with this agreement by sending a written request to the Director of HR. This should include the timing and duration of time off requested (including travel time where applicable), the purpose, and the intended location. In addition, requests for time off for training should include details of the content of the training. HR will consider the circumstances of the request and, if supported, consult with the relevant Unit to determine if the time off can be agreed. At the same time, each request for time off should be made by individual UNISON representatives and members to their line managers indicating the reason for which the time is requested. Requests for time off should be made with as much notice as is reasonable in the circumstances - in general, four weeks notice should be given. Agreement to time off will not unreasonably be withheld, but the operational needs of the Unit will be taken into account. Requesting Time Off. An employee requesting leave must communicate the request with their supervisor as soon as reasonably possible in accordance with the provision of this Agreement related to the type of leave being requested.

Requesting Time Off. 6.1 The recognised Trade Unions will be aware of the University’s circumstances and operational requirements when requesting time-off. These will include academic and support requirements, working arrangements and health and safety considerations.
6.2 Line managers and Trade Union representatives will work together to ensure that time off provisions, including training, operate effectively to minimise any operational impact.
6.3 Requests for time-off should provide line-managers or Heads of Departments with as much notice as practically possible. It would also be helpful if a schedule of known commitments (eg committee meetings) could also be provided.
6.4 Where the flexibility and working arrangements outlined in 6.1 and 6.2 are not achievable because of, for example, a need to provide cover or because of the impact on service provision, specific time-off must be requested in advance for planned Trade unions activities. Managers should consider each request and take reasonable steps to plan for representatives’ time-off and any necessary provision of cover and workload reduction. Line-managers should also bear in mind any difficulties for Trade Union representatives in ensuring effective representation and communication with, for example, part-time employees. It is however recognised that from time to time urgent issues arise and the Trade Union may need to respond in the interest of their members.
6.5 If agreement cannot be reached about the reasonableness of a request for time-off the matter shall be referred in the first instance to the Director of HR and Organisational Development who, if agreement still cannot be reached, will discuss the matter with the Regional Officer for the relevant union.
6.6 A quarterly report on the range of activities undertaken will be made by each of the branch secretaries to the Director of HR and Organisational Development (or delegate). This information will be used to ensure the effectiveness of the agreed arrangements, to identify any issues arising which require joint review and to help inform future discussions about paid time-off allowances. This information will also inform the University's statutory reporting requirements on facilities time.
Requesting Time Off. Employees may request time due to them (compensation or personal day) by signing up for the time they request. Time may be requested up to three months in advance. Employee's request must be approved by the shift supervisor's signature before it can be taken. Requests for this time off will be granted on a first requested basis. Requests will be approved by the shift supervisor as long as no disruption of work will occur, minimum staffing needs are met, and no special circumstances exist for workforce needs. Approval should be given as soon as possible but may be withheld if any of the preceding conditions are uncertain. Approval or denial should occur no later than 120 hours from the start the time requested off begins. If approval is given for the request and that employee should later be ordered into work, the employee will be paid at one and one half his rate of pay for all hours worked. The time requested and then not taken off will not be deducted from the employee.
