Information Provided to the Union. In accordance with SPP §3-208, the Employer shall provide, upon the written request of the Union, for each employee in the bargaining unit employee represented by the Union: a. Name; b. Position classification; c. Bargaining unit; d. Home and work site addresses where the employee receives interoffice or US Mail; and e. Home and work site telephone numbers. The Union may present a written request for employee information twice every calendar year. The Employer may charge the Union a fee not to exceed the actual cost of providing a list of employees' names, addresses, telephone numbers and work information to the Union. Employees may notify the Employer that they do not want the information described in this section released to the Union in accordance with SPP §3-208(d). The Union shall abide by the restriction concerning the use of information as provided for in SPP §3-208 (e), (g) and (h). Additional information, such as work e-mail address will be made available to the Union by each Department to the extent such information is readily available in an automated fashion.

The Employer will provide the Union with a list of employees who have paid union dues and fair share fees. The list will accompany the transmittal of money. The Employer will furnish tables of organization as prepared from time to time by the agencies covered by this Agreement.

Worksite telephone information (where economically feasible).
Information Provided to the Union. 1. The Employer agrees to furnish to the Union a biweekly computer report listing employees in these Units who are hired, rehired, reinstated, transferred into or out of the Bargaining Unit(s), transferred between Agencies and/or Departments, promoted, reclassified, downgraded, placed on leaves of absence(s) of any type including disability, placed on layoff, recalled from layoff, separated (including retirement), who have been added to or deleted from the Unit(s) covered by this Agreement, or who have made any changes in Union deductions. This report will be furnished to the Union upon request, at actual cost to the Union and shall include the employee's name, social security number, appointment type, position number, class/level, transaction code and effective date, county, city, former class and former or new Department/Agency. 2. The Employer will provide to the Union a bi-weekly computer tape listing by Department/Agency and work site containing the following information for each employee in the Bargaining Unit(s): the employee's name, social security number, street address, city, state, zip code, class number, class title, sex, race, birthdate, hire date, Department, Agency, mail code, TKU, office address codes, Union deduction code, appointment code, position type, position number, county code, unit code and hourly rate. 3. Membership dues and Service Fee deductions for each bi-weekly pay period shall be remitted to the designated Financial Officer of the Local Union, an alphabetical list of names, by Department and Agency, of all enrollments, cancellations with departure coding, when available, deduction changes, additional deductions, name and/or social security number change, no later than ten (10) calendar days after the close of the pay period of deduction. The Employer shall provide to the Financial Officer of the Local Union an alphabetical list, by Department and Agency, identifying those employees who have valid dues deduction authorization on file with the Employer from whose earnings no deduction of dues was made. Unavoidable delays shall not constitute a violation of this Agreement. 4. The Employer agrees to furnish to the Union a computer report listing employees in these Units in alphabetical order by Unit, social security number, Department, Agency and class, which indicates which employees are on dues deduction to the Union and which employees are paying a Representation Fee to the Union. Information Provided to the Union. The College will provide a semi-annual report to the Union containing the following information on bargaining unit employees: A. The name, date of hire, job title, and assigned salary grade. In addition, the College will provide a monthly report showing all new employees who were added to the payroll since the prior month’s report and will include the employee’s name, job title, assigned salary grade, office and department. B. Date of termination, resignation, or retirement for any employees who left the College’s payroll since the prior report. Upon request by the Union, the College will provide other necessary and relevant information to the extent not prohibited by applicable law. Information Provided to the Union. The University shall provide the Union on a monthly basis with the following information relating to or affecting bargaining unit positions or employees: new hires, promotions, demotions, reallocations, reclassifications, layoffs, recalls from layoffs, reassignments, leaves, returns from leaves, discharges or terminations, open or vacant positions that the University intends to fill, and open or vacant positions that were filled. In addition, the University shall furnish the Union at least twice a year with a list of confidential employees who otherwise would be covered by this Agreement, as well as seniority lists for employees who are covered by the Agreement. The University also shall furnish a separate list, once per month, in Excel or another mutually agreed upon digital file format that contains the names of bargaining unit employees, their campus contact information (campus address, campus mail code, campus email, and campus phone number, if any), permanent home telephone number, cell phone number, home address, any personal email address on file, class code, step, anniversary date, and FTE percentage. The information provided in conjunction with this list relating to bargaining unit employees shall be based upon the information listed within Banner for those employees The information provided to the Union shall include a unique employee identification number for each bargaining unit member. If for any reason the University should elect to change or modify the employee identification number for an employee, the University shall notify the Union of that change or modification prior to, or in conjunction with, submitting any subsequent information to the Union regarding that employee. The University shall provide the requisite information to the Union electronically. The Union may request additional information from the University that is necessary for contract negotiations or administration. The University will strive to furnish the requested information within ten (10) calendar days after receiving the request. The University shall make available access to the employee deduction register, which shall include all employees in the bargaining unit from whom dues were deducted. This register shall include the employees’ name, unique employee identification number, and deduction amount.
