Project Management and Meetings. 1. The Contractor shall prepare for and participate in the following meetings and workshops with the Owner: a. One kickoff workshop immediately after notice to proceed, to define preferences, requirements, constraints, etc. in conjunction with the Preliminary Design Services. b. Additional technical workshops, as deemed necessary by the Contractor or the Owner to discuss and resolve technical design and related Project issues. c. One workshop to review the 30% submittal. d. Workshop to review the Project Schedule. e. One workshop in conjunction with the 60% submittal for critical path facilities. f. One workshop in conjunction with the 60% submittal for remaining facilities. g. Workshop to review the DB Work Proposal. h. Monthly progress meetings attended by the Contractor’s Project Manager and architectural/engineering staff and Design Professional and Major Subcontractors, as appropriate. 2. The Contractor shall also arrange for its Design Professional to conduct and attend meetings with the Owner on an ad-hoc basis as deemed necessary by the Owner or Design Professional to obtain information and resolve design related issues.

Project Management and Meetings. The purpose of this task is to effectively manage the above tasks, and maintain communication with City staff. ICF project management will be responsible for coordination activities, will maintain QA/QC requirements for document preparation, and will monitor schedule and performance for all EIR work tasks. Project management subtasks also include maintaining internal communications among ICF staff and subconsultants and with City staff and other team members through emails and frequent phone contact, as well as the preparation of all correspondence. The Project Manager will coordinate internal staff, project guidance, and analysis criteria. Contracting with the City and subconsultants will be performed at the onset of the Project. Team members will attend and participate in meetings on an as-needed basis. For purposes of the cost estimate, ICF has assumed three City staff and/or Project Sponsor face-to-face meetings (in addition to the Project Initiation meeting described in Task 1), up to three public meetings (described in Task 13), and 10 phone conference calls. Additional meetings may be appropriate during the course of this effort, and will be invoiced on a time-and-materials basis.

Consultant will utilize ProjectMates for transfer of key management documentation as requested by the County. Workshop will include staff from County, Consultant, Subconsultant, and others as desired by the County. • Monthly progress meetings to keep County apprised of progress, direction, and findings. Meetings will be held at the County’s office. To the extent feasible, meetings will be scheduled to take place concurrent with other planned workshops. At a minimum, monthly meetings will be attended by three members of Consultant’s project team. Each meeting is expected to include the following: − Action items of the previous monthly meeting for discussion and completion status. − Monthly Progress Report. The monthly progress report will include at a minimum, the following: ✓ Progress within the last monthProblems encountered or anticipated ✓ Items scheduled for work in the next month. − Decision Log Update, including outstanding and upcoming project issues.
