Course Administration. 4.1. The Provider should ensure that they have requested Course authorisation, if applicable, as per the current authorising process applicable at that time.
4.2. The Provider explicitly agrees to obtain authorisation from the Delivery Centre for courses they wish to run before running the course.
4.3. Only those courses issued with a unique reference number will be deemed as authorised, if applicable for the type of course being delivered.
4.4. Authorisation for Coach Education Courses must normally be requested no less than 4 (four) weeks and Leadership and Safety Courses no less than 2 (two) weeks (or such other time as may be notified by the Delivery Centre) prior to the date on which the Course is due to commence.
4.5. The Provider shall inform the Delivery Centre immediately of any cancellation and/or postponement of requested courses.
4.6. The appropriate British Canoeing Awarding or Delivery Centre course schedule/administration procedure must be used to notify the Delivery Centre of the results of the course. The same procedure will apply if the course did not take place.
4.7. Once the course has taken place, the Provider should ensure that copies of relevant completed paperwork are forwarded to the Delivery Centre within 7 (seven) days along with the course administration fee.
4.8. If the Provider (without satisfactory explanation) on more than one occasion, within the Term of the contract, fails to ensure that: the relevant paperwork (fully completed, showing the results for all Candidates), course administration fee and any other monies due, are forwarded to the Delivery Centre within the stipulated time period, he/she may be excluded from being a Provider at the discretion of the Delivery Centre.
4.9. The Provider is responsible for all booking arrangements with Candidates unless informed otherwise by the Delivery Centre. The Provider will comply with such different arrangements as the Delivery Centre requires from time to time.
4.10. The Provider is responsible for ensuring that personal Data collected to aid them in planning and delivery of a course is managed in accordance with the Data Protection Xxx 0000 or any other applicable Data Protection legislation in effect at the commencement of this Service Agreement or coming into effect during the term of this Service Agreement, including but not limited to, The General Data Protection Regulation (GDPR) (EU) 2016/679.

Course Administration. 3.1 The REEA GSI certification will be awarded to students after completion of all three REEA GSI IDWs. The certification is offered exclusively by REEA. All REEA GSI IDW courses must be taken by students in order.
3.2 REEA will maintain student registrations, course completion data, course evaluations and collect all registration fees. Both parties agree that the current REEA GSI standards and completion requirements apply to courses delivered by REEA GSLs.
3.3 REEA GSL will send all student information to REEA within 72 hours.
Course Administration. 5.1 The description of the Course is provided within the Course Information. The Customer acknowledges that the IPA and/or LIME may modify the Course Information from time to time and, in these circumstances, LIME shall provide notice to the Customer.
5.2 The Customer acknowledges and shall notify each Course Entrant that each Course Entrant will be required, prior to accessing and viewing the Course and any Study Materials on the Website, to: (i) review and agree to the Website Terms of Use and any applicable Course Policy; and (ii) register for an online account via the Website.
5.3 The Customer shall require that each Course Entrant shall comply with the Website Terms of Use and any applicable Course Policy.
5.4 LIME may at its reasonable discretion and without any liability or any obligation to refund Charges, refuse to supply any Course to any Course Entrant whose participation in any Course would, in LIME’s reasonable opinion, be undesirable or whose behaviour it considers is or may be inappropriate.
5.5 The Customer accepts that periods of downtime in respect of online access to the Course may be necessary (including for any necessary maintenance) and that access to the Course and technical support may not be available during such periods. LIME cannot guarantee uninterrupted or error free availability of the Course or that any defects reported will be corrected.
5.6 LIME shall not be responsible for any delay or disruptions to any Course Entrant’s access to a Course or any Study Materials in connection with the operation of the internet (including but not limited to viruses), any firewall restrictions, any failures of telecommunications links and equipment or browser incompatibility or other technological issues.
5.7 If a Course Entrant is unable to take the Course for any reason, the Course Entrant may be entitled to defer taking the relevant Course, or find a substitute, if permitted by the relevant Course Policy.

3.4 Authorisation for Coach Education Courses must normally be requested no less than 4 (four) weeks (or such other time as may be notified by the Delivery Centre) prior to the date on which the Coach Education Course is due to commence.

3.6 The appropriate BCU Awarding or Delivery Centre course schedule/administration procedure must be used to notify the Delivery Centre of the results of the Coach Education Course. The same procedure will apply if the course did not take place.
3.7 Once the Coach Education Course has taken place, the Training Director or Assessment Director should ensure that copies of relevant completed paperwork including confirmation that all Candidates signed the agreement for participation as referred to in Appendix B, paragraph (vii) and Appendix C, paragraph (vii) respectively and also assessment portfolios for all Candidates are forwarded to the Delivery Centre within 7 (seven) days along with the Course Administration Fee Credit/Debit Card
3.8 If the Training Director or Assessment Director (without satisfactory explanation) on more than one occasion within the term of the contract fails to ensure that: the relevant paperwork (fully completed, showing the results for all Candidates), course administration fee (see Appendix A, Definition 1) and any other monies due, are forwarded to the Delivery Centre within the stipulated time period, he/she may be excluded from being a Coach Educator at the discretion of the Delivery Centre. An appeal of this decision can be made within the duration of the contract held and under the terms set out in the Delivery Centre Procedures.

Course Administration. Course participant records and course files
4.1 The documentation that is required to support the progress of an individual from the point at which his/her incident occurs, to the point at which his/her NDORS course is completed, can be considerable.
4.2 Files for individuals attending NDORS courses must be managed by the Service Provider and be available for inspection by the relevant Force at all reasonable times. Typically such files would include all correspondence between the Service Provider and the course participant and correspondence between the relevant Police Force and the Service Provider pertaining to that course participant.
4.3 Additionally, medical and skills assessment records, instructor comments and course participant feedback will only be kept for the period and in such a manner as agreed by the relevant Police Force.
4.4 The Service Provider may have to maintain other information (i.e. financial transactions) for the purposes of audit within its own organisation. The details of this information and the business requirements for retention must be agreed with the relevant Police Force.
4.5 Files should be maintained at a central administration point for ease of access and security, even if NDORS courses are conducted away from the administration centre, and backed up on secure servers.
4.6 Site security and electronic / paper data security at the central administration point is essential to protect the course participants’ personal data and data from the relevant Force. Access to the site should be controlled and monitored and only vetted staff should be able to gain access to any information relating to this contract.
4.7 Data should be well organised, easily located and physically accessible with ease.
4.8 All aspects of course participant contact must be kept confidential and documentation should be kept for the minimum time, kept secure and retained for inspection only by the Service Provider and authorised personnel of the relevant Police Force. All documentation must be kept in accordance with the relevant Police Force Data Processing Agreement / Information Sharing Agreement and the Data Protection Act 1998.
