Scheduling Time Off. The City reserves the right to determine the maximum number of employees in any job classification and/or in the Department to be scheduled off at any one time, day, shift or season. Such determination shall be made based on the total amount of vacation to be accrued by employees minus the amount of vacation for which employees have elected to receive compensation under Section 11.03. The City will meet and confer with the Union regarding the determination prior to the annual time off bid. Time off (the aggregate of time accrued pursuant to Section 11.01, subdivisions 2 and 4) to which each twenty-four (24) hour shift employee is entitled shall be scheduled prior to January 1st of each calendar year for the ensuing calendar year. Time off shall be scheduled at such reasonable times as approved by the City with particular regard to the seniority of involved employees and the needs of the Department and, insofar as practicable, with regard to the wishes of involved employees. At the time of electing to exercise the right to receive compensation for vacation under Section 11.03, an employee may also elect to withhold up to four (4) full 24-hour shifts from the annual time off bid. After the annual time off bid is completed, the City will provide a monthly notice of days in which the number of employees scheduled to be off is fewer than the number allowed to be off (“underutilized days”). To ensure the accuracy of the notice, the Employer will present and discuss the underutilized days with the Union at the monthly LMC meeting, if possible, prior to posting. The specific method of notice and the process for selection of underutilized days will be determined by the parties and periodically communicated to employees. However, once a withheld day has been granted for use on an underutilized day, the withheld day cannot be withdrawn or used to select another day off. If a withheld day(s) is not used to take time off, the employee may elect to carry over the day(s) to the next year and/or convert the day(s) to sick leave. However, an employee who has more than six (6) unverified uses of sick leave during the year may not convert withheld days to sick leave.
Scheduling Time Off. Scheduled PTO or unpaid time off shall be scheduled in accordance with the scheduling procedures. In case of illness, accident, or emergencies, PTO hours, or unpaid time off, may be taken without prior scheduling. Scheduled PTO hours or unpaid time off must be used in a block of at least eight (8) hours. Unscheduled PTO hours or unpaid time off (illness, accident, and personal emergencies, for example, emergency doctor appointment, family illness, or funeral) can be used in less than eight hour blocks. A nurse may utilize scheduled unpaid time off, rather than use PTO, in accordance with this article.
Scheduling Time Off. To the extent possible, Hospitalists should schedule personal plans on days when they are not scheduled to work. Article 12 specifies how Hospitalists can request not to be scheduled to work on certain days (“requests”).
Scheduling Time Off. All scheduled leave time must be scheduled in accordance with Department policy, and may be approved for a greater than twenty-four (24) hour period, with (5) five days advance notice. Approval for periods of twenty-four (24) hours or less may be granted with prior approval. When anticipated staffing is ten (10) or less, approval for use of time off will be withheld until such time as staffing of the shift is assured (conditional time off). The City and Association also agree that scheduling time may allow more than one person to be off on scheduled leave at a time, provided that minimum staffing is maintained, and the time off policy does not provide for two people to obtain advance approval to be off on scheduled leave.
Scheduling Time Off a. Application for vacation shall be made at least one (1) week in advance of use. The Fire Chief may waive this requirement at his discretion. All fifty-six (56) hour employees will schedule their vacation and holiday leave through their respective District Chief (or his designee) beginning October 15 and concluding prior to January 31 of each calendar year.
b. There will be four (4) vacation slots available for shift personnel.
c. Three of the vacation slots will be available for Firefighters (Firefighter/EMTs and Firemedics are considered Firefighters for the purpose of choosing vacation leave) and one vacation slot will be available for Lieutenants (Lieutenant/EMTs and Lieutenant/Paramedic are considered Lieutenants for the purpose of choosing vacation leave).
d. There will be three (3) rounds of leave selections for each employee.
Scheduling Time Off. Scheduling of time off is best resolved by unit-based decisions, where the affected nurses are involved in creative and flexible approaches to such scheduling. Each unit will develop guidelines that promote the ability of the nurses on that unit to preschedule vacation.
A. The Medical Center will make good faith efforts to approve no less time off than the amount a nurse accrues annually.
B. Nurses will make good faith efforts to balance their vacation and PTO requests in a manner that supports a core schedule and allows the Medical Center to maximize approval of requests. In order to facilitate these efforts, units and schedulers will use transparent processes to inform nurses’ selections for requesting time off.
C. Requests for PTO or vacation should be inclusive of the entire block of time the nurse is requesting to be away from work. The nurse will only need to use PTO or vacation time equivalent to their FTE.
Scheduling Time Off. 20.01 Members making written request to the Chief or his designee for scheduled time off (vacation time, holidays, personal time or comp time) shall use the “General Request Form” in Appendix “C”. All forms must be fully filled out or they will be rejected.
20.02 Members making written request to the Chief or his designee for use of five (5) or more consecutive days off must give at least thirty (30) days notice.
20.03 An employee may submit the request for scheduled time off during any part of the year. The Chief or his designee shall approve or disapprove each such request no later than seven (7) days after the request has been received. The Chief or his designee shall have the option to waive the foregoing requirements and grant scheduled time off at times other than hereinabove provided. If the Chief or his designee does not respond within seven (7) days of receipt of the request, the request shall be deemed approved.
20.04 In the event two members of the Police Division request the same starting date for scheduled time off, preference shall be given to the employee making their request first. In the event the dates are the same, rank seniority, then division seniority shall be the determining factor with the request of the ranking member recognized.
20.05 The City shall have the right to cancel an employee’s scheduled time off in the event of a real and present emergency; provided, however, the inability of the employer to cover the member’s scheduled time off by other employees shall not be considered an official emergency to enable employer to cancel a member’s approved vacation. In the event the City cancels a previously approved scheduled time off of three (3) consecutive days or more, the City will reimburse the employee for documented amounts of deposits or prepaid, nonrefundable expenses lost due to cancellation.
Scheduling Time Off. For the purposes of this Section, “time off” shall include: Vacation, Personal Day, Work Reduction Days, Administrative Day, and Incentive Time. Probationary employees shall be subject to restrictions from taking leave time (which shall not include Mandatory Work Reduction Days) within the first six (6) months of employment as outlined in Section 7.2. On or about November 15, the Battalion Chief or his designee shall notify each shift to schedule time off from January 1 of the next year through and including January 1 of the next following calendar year. January 2 through January 6 of the following year can be scheduled off only when consecutive days are scheduled that originate in the first calendar year and extend into the following year, thereby encompassing both calendar years. At least five (5) Time Off Slots per shift will be available for the months of January and February, and at least six (6) Time Off Slots will be available for the months of March through December and on January 1. A maximum of 24 hours Hire-Back Bank Time may also be included, at the employee’s choice, and shall be treated as not unduly disruptive days (e.g., 24 hours off equals 24 hours reduction in Hire Back Bank). Where applicable, hours in one category may be combined with hours from another category to total a full day (e.g., 12 Vacation hours plus 12 Incentive Time hours = one 24 hour day). The employees on each shift including Battalion Chiefs shall then select their leave preferences in the order of their seniority within the Department, with the most senior employee on the shift having first choice, the next most senior employee having the second choice, and so on; provided, however, that no more than three (3) officers (Lieutenant, Captain, or Battalion Chief), and no more than three (3) engineers, and no more than two (2) tower drivers may be scheduled off on any duty day. Any changes in shift assignment for the following calendar year shall, to the extent practicable, be announced prior to November 1. Employees may schedule single or consecutive days off in their initial and subsequent vacation selection process picks, provided, however, that each employee may jump one (1) blocked day one (1) time during picks. Leave must be scheduled in increments of at least one (1) duty day and not more than seven (7) duty days at a time, provided, however, that the Fire Chief may, in his reasonable discretion, permit leave to be taken in increments of greater than seven (7) duty ...
Scheduling Time Off. Prior to the beginning of the calendar year, management will indicate work force requirements and time available for selection of vacation and individual days off. Employees will then be allowed to schedule full weeks of vacation by seniority. Upon completion of full week selections, employees will be allowed to schedule individual days off (day-at-a-time vacation, Personal Days) in the same manner.
Scheduling Time Off. For nursing departments, Prime Time will be defined from Memorial Day through Labor Day. Requests for time off submitted by February 1, will be approved on a seniority basis. The time off schedule will be posted by March 1. Requests for prime time leave submitted after February 1, will be granted on a first-come first-served basis. Time off will be scheduled in such a manner as to provide adequate core staffing per unit and shift. An employee may utilize her/his seniority to procure up to five (5) weeks of prime time off in a year. However, an employee who utilizes her/his seniority during any year to procure more than three weeks of prime time off will only be allowed to use her/his seniority in the next year to procure up to three (3) weeks of prime time off. At least 2 employees per shift, per unit, shall be allowed to take time off at the same time, if there are available replacements. For all other departments, time off must be scheduled and approved in advance to ensure orderly operation of the department is maintained. Requests for time off shall be submitted at least six (6) weeks in advance of the schedule posting. The Employer will make a good faith effort to respond in a timely fashion to submitted time off requests. If multiple requests are received for the same time, those will be approved on first come, first serve basis. Employees who submit a request for time off less than two (2) weeks prior to the date(s) requested off shall: obtain appropriate replacement prior to submitting a request. The replacement hours will not increase salary costs, including premium pay or overtime. Requests for unscheduled time off under this section will be evaluated on a first-come, first-served basis. The Hospital has discretion to approve or deny the request(s) on the basis of appropriate qualification(s) of the replacement and evaluation of the costs to the Hospital. The employee's supervisor shall inform the employee making the request for unscheduled time off as soon as possible, and, if applicable, will post the revised schedule in a timely manner.
